1. Information We Collect

We collect information you provide directly to us, such as when you create an account, request a demo, or contact us for support. This includes your name, email address, company name, and any other information you choose to provide.

We also collect usage data automatically when you interact with our platform, including IP addresses, browser type, pages visited, and session duration, to help us improve the service.

2. How We Use Your Information

• To send technical notices and support messages
• To respond to comments and questions
• To monitor and analyse usage patterns to improve user experience

3. Data Isolation

Your company data is strictly isolated from other tenants. Your data is never used to train shared AI models. Fine-tuned models are trained exclusively on your company's own feedback and are not shared across accounts.

4. Data Sharing

We do not sell, trade, or rent your personal information to third parties. We may share data with trusted service providers who assist us in operating our platform, provided they agree to keep your information confidential.

5. Data Retention

We retain your data for as long as your account is active or as needed to provide our services. You may request deletion of your data at any time by contacting us.

6. Security

We implement industry-standard security measures including JWT authentication, role-based access control, and encrypted data transport. However, no method of transmission over the Internet is 100% secure.

7. Google User Data

If you choose to connect a Google account to HeyAdmin, this section explains what we access, why, and what we do with it. We only access Google data after you approve Google's consent screen, and only the permissions you approve there.

What we access and why

• Google Account sign-in (name, email address, profile picture): to sign you in to HeyAdmin and show who is signed in.
• Google Analytics (view your reports; optionally edit your Analytics settings): to show traffic and conversion figures in your dashboards and in answers from your assistant. Edit access is requested only if you ask HeyAdmin to create recommended conversion events, and is used for nothing else.
• Google Search Console (view search performance): to show search queries, pages, clicks and impressions in your SEO reports.
• Google Calendar (view and edit events; check availability): to book, move and cancel appointments you ask your assistant to handle, and to avoid double booking.
• Google Sheets (view and edit spreadsheets): to read and update the spreadsheets you point your assistant at, for example adding a new lead row.
• Google Business Profile (manage your business listing): to show and reply to reviews and to publish posts that you approve.
• Google Ads (view and manage your campaigns): to show campaign performance and to change a budget or status when you approve the change.

We use this data only to provide and improve these user-facing features inside HeyAdmin for you. We do not use it for advertising, and we do not use it for any purpose unrelated to the feature you connected it for.

How it is handled and stored

The access tokens that let HeyAdmin act on your behalf are stored encrypted and are tied to your company account only. Google data is requested when it is needed to answer or carry out something you asked for. Conversations with your assistant, including any Google data that appears in them, are kept as part of your conversation history and are retained and deleted as described in Section 5.

Sharing and AI processing

We do not sell Google user data, and we do not give it to advertising platforms, data brokers or information resellers. To produce a response, the relevant part of your Google data may be sent to the AI model provider configured for your assistant (for example OpenAI, Anthropic or Sarvam, or an endpoint of your own), only to generate the answer you asked for. Other than that, we transfer Google user data only when you ask us to, when needed for security or to investigate abuse, when required by law, or as part of a merger or acquisition after notifying you.

Google user data is not used to train generalized or shared AI models. Any fine-tuning described in Section 3 uses only your own company's rated conversations and is never shared with other accounts.

Who can see it

Our staff do not read your Google data unless you give explicit permission (for example, in a support request), it is necessary to investigate a security issue or abuse, or the law requires it. Where data is used in aggregate for internal operations, it is not tied to you.

Your control

You can disconnect Google at any time from Integrations in HeyAdmin. Disconnecting removes the stored access tokens and revokes HeyAdmin's access with Google. You can also remove HeyAdmin's access at any time from your Google Account at myaccount.google.com/permissions. To ask us to delete data we hold, contact us at the address in Section 8.

Limited Use

HeyAdmin's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
